For Organizers of Symposia / Workshops

1. Online Conference System (Zoom)

Symposia and Workshops will be held online via Zoom.

2. Facilitation

The organizers are expected to ensure that all presentations start and finish punctually as scheduled. Please let the secretariat know, if there are any changes on the program schedule.
The secretariat will ring a timekeeper’s bell at the following timings:

1 ring: 3 min. before the end of presentation, 2 rings: the end of presentation, 3 rings: the end of Q&A

3. Q&A

Questions from participants will be accepted by Q&A feature. The organizers read out questions, and a presenter answers them.

4. Zoom Access Information

Access information will be provided by the secretariat via email 2-3 weeks before the meeting.

5. How to Start the Symposia / Workshops

Please join the Zoom meeting 30 minutes before the session starts. The secretariat will give you instructions on how to facilitate and operate the session.

For Presenters of Symposia / Workshops

1. Language

Language of presentations differs depending on which session you belong to.
Please check it out from here.

2. Time Allocation

Allocated time for presentations and Q&As will be announced by the secretariat via email in late June.
Allocation for Young Scientists Awards Symposia is specified as below:
18 minutes for each presentation (13 minutes for presentation, 5 minutes for Q&A)

3. Presentation Slides

It would be appreciated if you could minimize the use of video in your slides, in order to operate presentations smoothly and to provide comfortable viewing.
Presentations in online conferences are regarded as public transmission under the Copyright Law of Japan. Please pay particular attention not to cause copyright infringement or defamation through the content of your slides. Also, please make sure you indicate the source when quoting published works.

4. How to Present Online

Use the “Share Screen” feature of Zoom.
Please share your slides in Slide Show mode and start your presentation.

5. Zoom Access Information

Access information will be provided by the secretariat via email 2-3 weeks before the meeting.

6. How to Attend the Symposia / Workshops

Please join the Zoom meeting 30 minutes before the session starts. The secretariat will give you instructions on how to operate your presentation.

For Poster Presenters

1. Online Conference System (Zoom)

Poster Sessions will be held online via Zoom Breakout Room.
Please join the breakout room with your poster number before the session starts.

<What is Breakout Room?>
Breakout Room is a feature of Zoom to create individual meeting rooms within an original meeting room.
*The same functions as a normal Zoom meeting room are available.

2. E-Poster

E-posters will be displayed on the Annual Meeting Official Website.
Only the participants can view the e-posters and download protection will be applied.
Please see the guidelines below to prepare and submit your e-poster.

4. How to Present Online

Please turn on your camera to make a presentation. You could share some materials through Zoom, which can be different from the e-poster. Viewers are recommended to turn on their cameras as well.

For Poster Award Flash Talk Presenters

*All those who applied for Poster Award are expected to make Flash talk. Please see below to check required documents.

Applicants for Poster Award will give a 1-minute Flash talk with a single slide, as a part of screening. You will perform a Flash talk using the secretariat’s PC, where your slide is loaded.

Please submit your slide through the submission form below
by 3. June (Thu.) 15:00 JST.

Your slide needs to be prepared in accordance with the following guidelines.

*No revision nor replacement is possible during the Annual Meeting.

<Guidelines for Slide Preparation>

(1) Language: Slide should be written in English or both in English and in Japanese.
Presentation can be given either in English or in Japanese.
(2) OS & application: (OS) Windows 7 or later version / OS X 10.4 or later version
(Application)   PowerPoint 2000 or later version for Windows
PowerPoint 2004 or later version for Macintosh
*Please make sure you convert your slide to PDF before submission.
(3) Slide size: Widescreen (16:9)
(4) Font: Please use the fonts listed below. Fonts other than the listed might cause text garbling. (When you use other fonts, please apply “Font Embedding” during PDF conversion.)
English: Times, Times New Roman, Helvetica, Arial, Symbol
Japanese: MS Mincho, MS Gothic
(5) File name: <Poster Number – Name.pdf>
(6) Data deletion: Your slide data will be copied in the secretariat’s PC and will be deleted completely after your presentation.
