For Chairs

The pivotal meeting format is on-site in Kumamoto, however, all sessions except Workshop (Oral / Poster) will be held in a hybrid format.
Basically, presenters who live in Japan are to deliver their presentations on-site, those who live outside of Japan or presenters who encounter difficulties in on-site participation will deliver online presentations.
Chairs, if possible, please participate on-site and chair your session.

Chairs who participate on-site

Arrival

Please arrive at the session room at least 15 minutes prior to the session and sit on “next chair’s seat”.

How to lead sessions

We ask for your cooperation in keeping to the presentation and Q&A schedule to ensure smooth operation of sessions. Number of presenters, lengths of presentation and Q&A period differ according to sessions. For detailed information of each session, please access to “ONLINE CONF”, the website for abstract browsing / viewing presentations, which will be available from December 1.
Please kindly note that chair’s video is displayed to audience at any time: when you are introducing your speakers, opening and closing the session, proceeding Q&A period and facilitating discussions, except during speakers are delivering their presentations.

Discussions

There will be a computer prepared for you at chair’s seat in the session room. This computer will be connected to the Zoom Webinar and you can view questions from online audience. Please take questions from both on-site and online audience. As for questions from online audience, you select a question, read it on her/his behalf, and ask a speaker to answer it.

Chairs who participate online

Enter the Zoom meeting room as a panelist and chair your session. The meeting secretariat will notify you of the panelist link prior to the meeting via email.

Zoom Connecting Test (voluntary)

If you have questions regarding proceeding or operating the Zoom meeting, or you are not familiar with chairing the Zoom meeting, please join a connecting test. The test will start 45 minutes prior to the session. The meeting secretariat will notify you of the link for a connecting test as well as date and time via email in late November.

We will prepare for the environment enables both on-site and online audience to ask questions. Please take questions from both on-site and online audience. The microphone in the session room is connected to the Zoom meeting, chairs who participate online can hear all questions. Only chairs and speakers can view questions from online audience.
