Conference Poster Guidelines
- Poster Dimensions and Format:
- Poster dimensions should be 84,1cm (width) x 118,9 cm (height), which equals A0 format.
- The poster should be in portrait orientation.
- Please ensure that the content of your poster fits within these dimensions and is clearly visible from a distance.
- Content and Layout:
- Structure your poster to include the following sections: Title, Introduction, Methods, Results, Discussion, and References (if applicable).
- Use clear headings and subheadings to organize the content.
- Include the Conference Logo on the top Right of the poster
- Include visual elements such as graphs, charts, images, and diagrams to illustrate key points.
- Keep text concise and avoid overcrowding the poster with excessive information.
- You may consider providing contact information (email address, institutional affiliation, website) for the authors or presenters to facilitate further communication or inquiries.
- Text and Font:
- Include a clear and concise title at the top of the poster.
- Below the title, list the names of the authors and their affiliations. Highlight the presenting author's name with an asterisk (*) if applicable.
- Use a legible font style such as Arial, Times New Roman, or Calibri.
- Ensure that text is large enough to be read comfortably from a distance (recommended font size: minimum 24 points for body text and 36 points for headings).
- Use bold or italicized text to emphasize important points, but avoid using all capital letters for entire sentences or sections.
- Graphics and Visuals:
- All graphics and visuals should be of high quality with clear resolution.
- Label axes, legends, and data points clearly in graphs and charts.
- Use color strategically to enhance visual appeal and convey information effectively but ensure accessibility for viewers with color vision deficiencies.
- Printing and Mounting:
- Print your poster on high-quality paper or vinyl material.
- Ensure that the printing quality is sharp and colors are vibrant.
- Online Presenters
- Please include a QR code on your poster that links to connect to you via Zoom.
- Presenter Responsibilities:
- Presenters should be available during the poster session to engage with conference attendees
attendees, answer questions, and discuss their research or project.
Conference Poster Print Opportunities:
There are several options for printing your poster at the conference. Keep in mind, you are responsible for the expenses related to the publication, transit, and printing of the poster. (Neither CIAC, OIST, nor the conference venue are responsible for any damage or the possible loss of your poster.)
- Option 1: Print your poster and bring it with you on your flight to the conference
location. Consult with your airlines about potential extra costs.
- Option 2: Arrange your poster to be printed at a local print shop close to the
conference venue.
- Please make sure to contact the print shop in time to ensure timely print
and collection.

The following rules will apply to submitting and presenting general abstracts at CIAC 2025.
- In principle, on-site participation is required for general presentations and discussions.
- All abstract submissions must be made in English.
- All presentation files for oral presentations will be prepared in English, and presentations on the day of the meeting will also be given in English.
- In principle, oral presentations will be given at the venue.
There will also be online webcasting or post-conference streaming.
- Posters must be made in English.
- When submitting an abstract, you may choose an Oral or Poster presentation. Depending on the number of applications and the presentation's content, the coordinator may request that the oral presentation be changed to a poster.
- All poster presentations must be displayed on-site for presentation and discussion. There will be no real-time sessions on the web (including e-poster and video calls).

Please note the following items when submitting your abstract.
- Number of words: 150-250 words
- Number of authors: up to 12, including the first author
- Institutional affiliation: up to 10
- Please enter your first name and last name:
Only the first letter of both first and last names must be capitalized. Example: Taro Yamada ×Taro YAMADA
- Please ensure that there are no errors or omissions in your registration.
- The information you confirm will be reflected on the Web and in the paper.
- Considering the limited time available 1 abstract per person regardless of either individual or collective.
- There is no need to submit abstract for workshop. Please consult with the organizers of workshop.
Notification of receipt of abstract submission
An email will be sent to the email address you entered when submitting your abstract, notifying you that your registration is complete.
Please keep this number safe, as it will be required for any modifications or inquiries.
Notification of acceptance or rejection of abstracts
Applicants will be notified by e-mail in early July. Please be sure to confirm your application.
